Visits, visas and business travel
10 Common Questions
Common Questions
Can I invite my team member to Australia or New Zealand?
Yes, with planning. Book a session with us and your team leader first — see the full article on bringing your team leader out for purpose, timing, budget, who pays, and the visa conditions.
Who is responsible for the visa application, and does WorkmodeX guarantee approval?
The visa application sits with the traveller, supported by a registered migration agent. WorkmodeX may provide relevant employment documentation and assist with coordination, but visa decisions are made solely by the relevant government authority — we cannot guarantee approval. Don't book travel until the required visa and internal approvals are confirmed.
Who pays for flights, accommodation and travel expenses?
Most clients cover the full cost since it's a business visit, but this must be agreed and documented up front rather than assumed.
Does the employee need travel insurance?
Yes — travel insurance should be arranged as part of the trip budget before departure.
Can the employee work while visiting?
A visitor visa allows business activities such as training and meetings, not paid work for an Australian employer. Your team member stays employed through our EOR arrangement while they're here, and we make sure the trip is structured correctly.
How early should travel planning begin?
Three to four months' lead time is comfortable. Less than that gets tight once visa processing, passport validity and peak travel periods are factored in.
Can WorkmodeX organise an in-person team event?
Talk to us about what you have in mind and we'll work through what's possible, including the employment arrangements that apply during business travel.
What am I responsible for while my team member is in Australia?
Everything except their personal shopping and pasalubong: flights, visa costs, insurance, accommodation, all meals every day, all transport, and any work costs. A prepaid food card and a week-long transport card handle this best, because your team member is very unlikely to tell you if they're going without. See the full guide on hosting your team member in Australia.
What can my team member bring into Australia?
No meat, eggs, fresh produce, seeds, honey or vapes — and everything food-related must be declared on the Incoming Passenger Card. Declaring is free; not declaring risks large fines and even visa cancellation. See the pre-flight guide for the full list of what's allowed.
What is pasalubong and should I do something about it?
Pasalubong is the gift a Filipino brings home for family, neighbours and colleagues after being away — a real social obligation, not an optional souvenir. Buying a box of Australian souvenirs and supermarket treats for your team member to take home costs $80–$200 and is remembered for years.
